Once a Video Signing Room™ (VSR) meeting has been created, each attendee will receive an email invitation with a link to join the meeting.
- You can join a VSR meeting as an attendee in either one of the following two ways:
- If you are already a Syngrafii user, log into the Syngrafii application and find the VSR Package and click Join.
- Locate the meeting invitation in your default e-mail calendar and click on the Join button.
- To attend a meeting, you will need to use a computer with a webcam or any mobile device with a camera. Attendees can use any modern browser such as Chrome, Firefox, Safari or Edge. The list of supported browsers can be found here.
- Once you join, you will be taken to the meeting Lobby. You will have to wait for the Host to start the meeting. As the Host joins, you will see their status change from offline to online. You can use the chat to communicate with the Host and other attendees.
- When the Host starts the meeting, you will be taken to the live Video Signing Room. The website will prompt you to allow access to your webcam and microphone and you will have to give it permission so that the Host and other attendees can see and hear you.
- You can use the options button: on the right-hand side to change your camera and audio preferences.
- If your camera or microphone is not listed here, please refresh the page and be sure to allow the browser to have access to them. Other troubleshooting tips can be found here.
- When it is time to sign the documents, the Host will share their screen, and you will be able to see the documents.
- To sign the documents, the Host will activate the Signature/Initial boxes assigned to you. If you have joined the VSR session using a mobile device, you can sign directly on the device. Otherwise, the Host will have to send you a Signature Pad link to your email or as a text message to your phone.
- Once you open the Signature Pad it connects to the document. When the Host requests for a signature or initial, you can use your finger or a stylus to sign and hit the Send button to send your signature into the document.
- You can also send photographs of identification if required for a signing using the Signature Pad.
- Once all the required signature fields are completed, the Host can finalize the document. If there are additional documents in the Package, the Host would open them and request your signatures as required. Please note that you can use the same Signature Pad to sign all the documents in the same Package.
